HONEY LOCUST SANGHA CARE TAKING COUNCIL (CTC) MEETING NOTES

 
Our CTC Meeting took place on 4/9/17 at 2:30 – 4:30 at the Yoga Path.
 
CTC Members in Attendance: Gina, Mark, Amanda, Patrice, Beth, Mike, Megan,  Dave, and Colleen  
Sangha Member(s) in Attendance: Laura
 
CTC MEETING
 
Before discussing the agenda items:
  • Singing Meditation
  • Check in 
  • Sitting Meditation
  • Reading of “Thay’s “Meditation before Meetings”
 
The following decisions were made by consensus, after open dialog, loving speech, and deep listening.
 
1.  Communicating CTC meeting schedule and agenda items 
  1. Announce upcoming meeting in the following ways
    • At Monday night Sangha meditation
    • Via listserv email sent a week before
    • On the Sangha’s website calendar
  2. Make agenda items accessible and transparent in the following ways
    •  Include in announcement that Sangha may suggest agenda items via email gmatkin1@gmail.com 
    • Add a link to the agenda on the Calendar page
    • Gina will notify the CTC when new items are added to the agenda.
 
2.  Communicating CTC decisions and information to the Sangha   
  1. CTC (Gina) will send email to listserv that minutes are now on our web site.
  2. Certain items may be communicated directly via our listserv.
  3. Request that Sangha members share ideas with the CTC about enhancing communication, clarity, and transparency
 
3.  Quorum
A decision-making quorum for the CTC is a simple majority of the total CTC membership.  Right now, there are nine members; five CTC members present at the CTC meeting would be a quorum.
 
4.  CTC meeting space - Yoga Path
Our Sangha will rent the Yoga Path studio for the CTC at the rate of $60 per meeting.  Funds will come from the Sangha checking account.
 
5.  Finances
  1. The Sangha will make a contribution of $200 to Cyndonna’s “Mindfulness Training” tuition
  2. Steve Brown, our new Treasurer, will post quarterly financial reports on our web site.
  3. The Sangha now has a Financial Committee which includes Steve Brown, Priya, Mark, Amanda, and Laura.  
  4. The Finance Committee will present recommendations to the CTC about the following issues.
    • Priya’s issues from January email
    • Budget
    • Guidelines on giving (such as the TNH Foundation and requests for funding).
 
6.  Retreat followup
Mark sent out a Retreat Questionnaire/Survey. 
 
7.  Sangha Monthly Meetings
  • 2nd Sunday - CTC   2:30 - 4:30
  • 3rd Sunday - Order of Interbeing Aspirants
  • 4th Sunday - Women’s Circle  1:00 - 3:00
 
8.  Next CTC meeting:  May 7 at the Yoga Path at  2:30 - 4:30.  
 
9.  Suggestions for May Agenda:
  • Retreat survey responses and lessons learned
  • Chanting (Laura)
  • Tax status
  • Camp Hitchcock – Winter CTC  
The Honey Locust Sangha / Omaha Community of Mindful Living is a 501(c)(3) non-profit organization. All funds donated help to fulfill the mission of practicing and raising awareness of the mindfulness practice in the Thich Nhat Hanh / Plum Village tradition.
